What a workspace is

The container everything you make lives in: files, documents, sheets, canvases, forms and the photo library, shared with everybody in it.

A workspace is the container everything you make in Nemi lives in: files and folders, documents, spreadsheets, canvases, forms and the photo library. Every app shows you one workspace at a time, and the switcher at the top of the sidebar is how you change which one.

The choice is sticky. Pick a workspace in Files and Docs, Sheets, Forms and Gallery open in the same one on this device until you switch again. That is worth knowing before anything else, because a document you cannot find is far more often in the other workspace than actually gone.

Press the workspace name to switch or to create a new one. The button beside it opens Manage workspace.

What is in a workspace, and what is not#

  • Files, folders and the trash.
  • Documents, spreadsheets, canvases and forms.
  • The photo library. One library per workspace: everybody in it sees the same grid, the same albums and the same trash.
  • The name, colour and icon, which is what the switcher shows.

Only workspaces you own count against the limit. Being a member of somebody else's workspace costs you nothing and is unlimited.

Storage does not multiply with workspaces. Your plan storage is one allowance for the whole account, shared by every workspace you own, so a second workspace gives you somewhere else to put things and not one byte more room. See Storage and auto-extend.

Making one, managing one, deleting one#

    Open the switcher

    Press the workspace name at the top of the sidebar. It lists every workspace you can reach, yours and the ones you were invited to.

    Press New workspace

    Give it a name and pick a colour. Both can be changed afterwards, and you can upload an icon instead of the letters.

    Manage it

    The button beside the workspace name opens Manage workspace, with three tabs: General for the name, colour, icon and deleting, Limits for caps the owner sets on this one workspace, and Members.

The Limits tab is for the owner and lets you hold one workspace below your plan: a storage cap in GB, conversions and compressions per day, and the largest file each may take. Leave a field blank for the plan default. A cap here can only narrow what the plan allows, never widen it.

Common questions#

Does joining somebody else's workspace use one of mine?

No. The limit counts only the workspaces you own.

Can I move a file to another workspace?

Not directly. Share the file, open the link and use Save to workspace, picking the other one. Saving a shared file to your account needs Starter or higher; on Free, download and upload it again. Photos are different: Gallery can move or copy them between the libraries of two workspaces you are in.

Why does the switcher not show in Calendar?

Because Calendar is account-bound. So is Beam. Both show your own name in that spot instead.

Do I need a second workspace to keep client work apart?

Only if different people should see the two sets of work. Everybody in a workspace sees all of it, so separation between clients is a reason to make a second workspace; tidiness on its own is what folders are for.
