Members and what each role may do

Being in a workspace and being allowed to change it are two different things. What owner, editor, member and viewer each may do.

Two separate questions decide what happens when somebody presses a button. Are they in this workspace at all, which is what lets them see and download things, and what is their role, which is what decides whether they may change anything. Everybody in a workspace sees everything in it. Only some of them may edit it.

Editor and member are treated the same when Nemi decides whether a change is allowed. The two names exist so you can label who does what on your team.

A workspace has exactly one owner, and it is the person who created it. Ownership is not something an invite can hand out, so nobody can be promoted into it and nobody can promote themselves.

What only the owner can do#

  • Invite people, revoke a pending invite and remove a member.
  • Change somebody from viewer to editor, or back.
  • Rename the workspace, change its colour and upload its icon.
  • Set the per-workspace limits under Manage workspace, Limits.
  • Delete the workspace.

A member sees this tab too, but without the invite box, the role dropdowns and the pending invites: an invite link is a working key to the workspace.

What stays with whoever made it#

A role decides who may edit. It does not hand over the things that belong to the person who made them. Whoever created a document, spreadsheet, canvas or form keeps sole control of sharing it, publishing it and deleting it, even though everybody in the workspace can write in it. In Gallery, any member can move a photo to the trash and any member can bring it back, but erasing one for good is limited to the person who uploaded it and the workspace owner.

Changing a role, removing somebody, leaving yourself#

    Change a role

    Manage workspace, Members, then pick Member, Editor or Viewer in the dropdown on that person. It applies to their next action, so somebody with the app open does not need to sign in again.

    Remove somebody

    The bin button on their row. They lose the workspace immediately, along with the files and folders in it.

    Leave a workspace you were invited to

    Manage workspace, General, Leave workspace. You will need a new invitation to come back.

Nothing is deleted when somebody is removed or leaves. Their files and folders stay in the workspace, because that is where they were uploaded. Documents, spreadsheets and canvases keep their creator, so a person who leaves still reaches the ones they made themselves, from their own account.

Somebody says they cannot upload or edit. Why?

They are a viewer. Change the role under Manage workspace, Members. A viewer can see and download everything and change nothing, which is exactly what the role is for.

Can a member invite a colleague?

No. Inviting is the owner's call, and so is revoking. Ask the owner, or ask them to make the invite link.

Can two people own a workspace?

No. There is one owner. Give the other person the editor role and they can do everything except manage people and delete the workspace.
