What everybody in a workspace can see

Everybody in a workspace sees everything in it. There is no per-file privacy switch, no personal corner and no hidden folder. If something should not be seen by the other members, it belongs in a workspace that has no other members.

Shared with the whole workspace#

• Every file and folder, including the trash and what is in it.
• Every document, spreadsheet, canvas and form, open at the same time, with everybody's cursor in it.
• The photo library: the same grid, the same albums and the same trash, with your name on the photos you added.
• The workspace storage figure, so anybody can see how full it is.
• Which plan the workspace runs on and whose it is, shown beside the workspace in the switcher. Nothing else about the owner's subscription is visible: not what they pay, not how they pay and not when it renews.

What stays with the person who made it#

• Sharing, publishing and deleting a document, spreadsheet, canvas or form. Everybody can write in it; only its creator can put a link on it or delete it.
• Erasing a photo for good, which is limited to the person who uploaded it and the workspace owner. Trashing is open to any member and can be undone.
• Photos. A photo counts against the storage of the workspace it is in, and the account that uploaded it is the one it is billed to and the one that keeps it if that person closes their account. Files, documents and everything else belong to the workspace and are billed to its owner.

Whose plan pays#

A workspace has one bill, and it is the owner's. Every limit inside it is resolved from the person who owns the workspace, never from whoever happens to be looking. So joining somebody on a bigger plan does not raise your own limits: it raises what you can do inside their workspace, and nowhere else. Uploading into their workspace spends their storage, not yours, which is usually the point of being invited but is worth saying out loud before you drop 200 GB of raw footage into a colleague's account.

Sharing one folder with somebody outside#

You do not have to hand over the whole workspace to work with one person on one thing. A folder can be shared on its own, from Share and collaborate on that folder, with each person set to Can edit or Can view. They reach that folder and nothing else, and the folder is marked in the file list so you can see at a glance which ones have outsiders in them. For sending files to somebody who should get no account at all, use a share link or a room.
