Review rounds and approvals
A client marks a version approved or asks for a change, with the comments pinned to the exact spot, and version two goes out on the same link.

A review round is feedback pinned to the file itself. The client clicks the spot they mean on page four, or the moment they mean at 2:07, types what is wrong, and then either approves the round or asks for a change. When you send version two, it goes out on the same link as round two, and round one stays readable underneath with its comments and its decision on it.
One thing to get straight before you go looking for it: a review runs on a share link, not inside a room. Turn on the Review option when you create the link, and the page the client opens becomes a review instead of a plain download page. Rooms and reviews are often used together, the room for the project and a review link for the deliverable, but they are two different things.
How a round runs#
Round 1 goes out
You share the files with Review switched on and send the link.
The client pins comments
On a point in an image or a page, at a timecode in video or audio, or on a quote in text.
They decide
Approved, or a change request with a note saying what should change.
Round 2 on the same link
Upload the new versions. Round 1 stays where it is, decision and all.
A round is a snapshot of what the link held when it opened, which is what makes an approval mean something later: files you add to the link afterwards do not quietly join a round that has already been approved.
What the client does#
- They type a name. That is their whole identity. There is no account, no sign-in and no verification, and the name is required so you know who said what.
- They click where they mean. A pin on an image or a PDF page, a timecode on video and audio, or a quoted passage in a document. Pins are stored relative to the file rather than to the screen, so a comment left on a laptop is in the same place when you open it on a phone.
- They can also comment on the whole round, for anything that is not about one spot.
- They approve or ask for a change, with an optional note. Only the newest round takes comments and a decision.
- They can fix their own words from the same browser they wrote them in. You can delete a comment from your review, but never rewrite somebody else's.

Open the review
From the link manager, where a link that is under review is marked as such, with a button that opens it.

Start the next round
Drop the new versions in. There is a field for what you are asking for this time, which is worth filling in: "colour pass on the poster" saves an email.

Let the names line up
A new version keeps its place beside the old one when the file names match, and trailing markers like
v2are ignored on purpose. That pairing is what lets you put the two versions side by side. - 4
Send nothing
There is no second link to send. The client's existing link now shows the new round.
New versions you upload for a round are saved into your workspace as ordinary files as well, so nothing lives only inside a review. A decision arrives in your notifications, naming the round and whoever gave it.
What is kept, and for how long#
The versions you put up, the comments, where each comment was pinned, and the approval or change request together with the name of whoever gave it are all kept for as long as the link exists, and are deleted with it. That is set out in the privacy policy, which the client can read too.
When it goes sideways#
The client says they cannot leave a comment
Only the newest round is open, and a round that has already been approved or sent back is closed. Reopen the round, or start the next one.
They approved the wrong round
Reopen it. The comments and the files stay exactly as they were, and the round can take a fresh decision.
I need to pull a file out of a round
You can, and the client stops seeing it in that round straight away. Comments pinned to it stay in the round without their pins, and the file itself stays in your workspace and in any earlier round it was part of.
Two people are reviewing
That works: each types their own name and the comments carry it. The decision records the name of whoever pressed the button, so agree between them who that is.
The pins are in the wrong place
Pins follow the file, not the window, so this normally means the file itself changed underneath the round. Send the new file as a new round rather than replacing it, which is what a round is for.
