Requests and messages

Write what you still need from a client as a list they answer in the room, and keep the questions about it in the room instead of in your inbox.

A room can hold two things besides files: a list of what you still need back, and a thread. Together they are the difference between handing somebody a folder and running a handover. The client opens the link and reads what is outstanding in your own words, answers each line in place, and asks their question where the files are rather than in a reply to an email you will have to find again.

Writing the list#

Add lines while you create the room, or at any time afterwards from the Requests tab. Each line is one thing, named the way you would say it out loud: "Signed contract", "Logo in vector", "Confirm the delivery address". A room holds up to 50 of them, which is more than a handover should need.

Every line is one of two kinds, and you choose which:

  • Answered with a file. The client presses Upload on that line and picks a file. It goes into the room, into your workspace like any other guest upload, and the line is marked provided with their name on it.
  • Answered by ticking it. For anything that is not a file: a confirmation, an approval in words, an address checked. The client presses Mark as done.

The client sees this at the top of the room, above your files. The count is in words as well as in the bar, so it reads the same to everybody.

What happens as it fills in#

  • Your room list shows 2 of 5 provided, so you can tell at a glance which client still owes you something without opening anything.
  • Each line that is provided arrives in your notifications, naming the line and whoever provided it.
  • The delivered file is linked from the line itself, as well as sitting in the room's files and in your workspace.
  • You can tick or untick any line yourself, for the times something arrives another way.

The thread#

The Messages tab is one conversation per room, shared by you and everybody holding the link. The client writes under whatever name they typed at the top of the page, you write as yourself, and both sides see the same thread in the same order. It is plain text: no formatting, no attachments, and nothing can be edited after it is sent, because a thread a client reads has to be the thread they were sent.

A message from a guest arrives in your notifications like anything else. There is no live indicator and nothing is pushed: the page checks for new messages every twenty seconds or so while it is open, which is the right amount of machinery for a conversation that moves a few times a day.

Anyone with the link can read the whole thread and add to it, exactly as anyone with the link can see the files. If two people at a client share the link, they share the conversation. Anything that should not be readable by everybody who has the link does not belong in a room at all.

When it is not doing what you expect#

The client cannot upload against a line

Guest uploads are off for that room, or the room is archived or past its expiry. Switch uploads on in Settings, or reopen the room.

A line says provided but I cannot find the file

It is in the room's Files tab, and in your workspace under Rooms/ and the room's name. If it is in neither, the file was removed from the room, which reopens the line.

Two people answered the same line

The first answer stands and the line stops accepting another. The second file still arrives in the room, it just is not what the line points at. Untick the line if you want it answered again.

I want to hide the list from the client

There is no hidden list: a request exists to be seen and answered. Delete the lines you do not want shown, or keep that work somewhere that is not the client's page.

Can I stop one person writing in the thread?

No. There is one link and it is the key, so the granular version of this is a room per client. Rotate the link if it has reached somebody it should not have.
