Tasks

A list of the things you mean to do, beside the calendar, and the drag that turns one of them into a plan.

Press Tasks in the sidebar, or the [ key, to open the rail beside the grid. Tasks sit next to the calendar rather than on it, because most of them never get a time: they are things you intend to do, and only some of them become appointments.

The basics#

    Type into Add a task

    Press Enter. It lands at the top of the list you have selected. Your first list is called My things.

    Tick it off

    The box on the left. A completed task drops into Done at the bottom of the rail, struck through, so you can undo a mistaken tick.

    Drag it onto the grid

    That is the moment a task becomes a plan: it takes a time and is drawn beside your events, competing for space with them rather than hiding behind them.

    Take it back off

    Click the time shown under a scheduled task in the rail and it goes back to being just a task.

Lists#

Make as many lists as you want with the plus at the top of the rail: one per client, one for the house, whatever you already sort by in your head. A list can be renamed or deleted from the menu on its heading, and a task with no list sits under Unfiled. The sidebar shows how many tasks are open across all of them, which is the number worth glancing at.

Editing a task#

Click a scheduled task on the grid and a task editor opens, not the event editor. It has a title, notes, which list it is in, whether it is done, and its time. It has no guests, no repeat and no calendar, because a task is not an event and pretending otherwise makes both worse.

What is shown and for how long#

Deleting a task with the bin removes it straight away. There is no separate task trash, so if it might matter later, tick it off rather than deleting it: a completed task is still there to read for a month.

When a task will not behave#

I dragged a task onto the calendar and it vanished.

It is on the grid at the time you dropped it, most likely behind the day you are no longer looking at. Press T for today, or find it in the rail, where a scheduled task shows its time underneath.

Completed tasks are listed for 30 days. After that they are no longer shown in the rail.

It does not any more. Clicking a scheduled task opens its editor, and ticking it off is done in the rail or from the editor, so a stray click cannot complete something.

Can somebody else in my workspace see my tasks?

No. Calendar and everything in it, including tasks, is bound to your account rather than to a workspace.

If you want a list several people can work through together, that is not a task list: use a document in a shared workspace, or a room if the other people are clients rather than colleagues.
